Create Custom Flat File Layout Screen

 Purpose

The purpose of the Create Custom Flat File Layout screen is to allow a provider to specify its own flat file format for loading patient, immunization, comment, or event files into the ALERT IIS.  Training and experience with Data Exchange is required to use this feature.

 View Custom Flat File Layout

To view a custom flat file layout, follow these steps:

  1. Select Custom Flat File Layouts option under the Data Exchange menu Group.

  2. Select the Custom Flat File Template Name from the Custom Flat File Template Name Pick List.

  3. Click the View button.

 Create New Custom Flat File Layout

To create a new custom flat file layout, follow these steps:

  1. Select Custom Flat File Layouts option under the Data Exchange menu Group.

  2. Click the Create new layout button.

  3. Enter the Template Name, File Lengths of the files, and the Starting Position of any fields that will be used in the custom flat file format being generated.

  4. Select whether the template will be used Globally or just for the provider organization by using the Global Template pick list.

  5. Click the Save button.

 Edit Custom Flat File Layout

To edit a custom flat file layout, follow these steps:

  1. Select Custom Flat File Layouts option under the Data Exchange menu Group.

  2. Select the Custom Flat File Template Name from the Custom Flat File Template Name Pick List that needs to be edited.

  3. Click the Edit button.

  4. Change the Template Name, File Lengths of the files, and the Starting Position of any fields that need to be changed in the custom flat file format.

  5. Change whether the template will be used Globally or just for the provider organization by using the Global Template pick list.

  6. Click the Update button.

Template Name of the custom template.

Define Patient File Information File Length

Length of the Patient File that will be imported.

Record Identifier

Starting position of the Record Identifier, used to link a Patient to Immunization records in the Patient file.

First Name

Starting position of the First Name of the Patient in the file.

Last Name

Starting position of the Last Name of the Patient in the file.

Birth Date

Starting position of the Birth Date of the Patient in the file.

Define Immunization File Information File Length

Length of the Immunization File that will be imported.

Record Identifier

Starting position of the Record Identifier, used to link a Patient to Immunization records in the Immunization File.

NDC Code

Starting position of the NDC Code of the Immunization File, either NDC Code, Trade Name, CPT Code, CVX Code or Vaccine Group need to be entered.

Trade Name

Starting position of the Trade Name of the Immunization File, either NDC Code, Trade Name, CPT Code, CVX Code or Vaccine Group need to be entered.

CPT Code

Starting position of the CPT Code of the Immunization File, either NDC Code, Trade Name, CPT Code, CVX Code or Vaccine Group need to be entered.

CVX Code

Starting position of the CVX Code of the Immunization File, either NDC Code, Trade Name, CPT Code, CVX Code or Vaccine Group need to be entered.

Vaccine Group

Starting position of the Vaccine Group of the Immunization File, either NDC Code, Trade Name, CPT Code, CVX Code or Vaccine Group need to be entered.

Vaccination Date

Starting position of the Vaccination Date of the Immunization File.

Define Comment File Information File Length

Length of the Comment File that will be imported.

Record Identifier

Starting position of the Record Identifier, used to link a Patient to Immunization and Comment records in the Comment File.

Comment Code

Starting position of the Comment code of the Comment File.

 Functionality

The following table describes the buttons available on the Create Custom Flat File Layout screen.

Command Button

Description

When clicking on the View button, the system displays the detailed field lengths and starting positions for all the fields in the custom layout chosen from the pick list.

When clicking the Edit button, the system displays the Edit Layout page.

When clicking the Create new layout button, the system displays the Create New Layout page.

When clicking the Save button, the system validates all fields are entered correctly and saves the New Layout that was developed.

When clicking the Update button, the system validates all fields are entered correctly and saves the edited layout that was developed.

When clicking the Cancel button, the system returns to the previous screen.
