Edit Transfer Screen

 Purpose

The Edit Transfer screen is used primarily to view the details of a transfer and then ship it out. Users can also edit or modify the quantity before shipping the transfer. A transfer can only be modified if it has not been shipped yet. Once it has been shipped users will only be able to view the details of the transfer. Once the transfer has been created users will not be able to modify the 'Sending Site'.

Field Name

Description

Remove

This column displays a check box that if selected will remove the order item from the current transfer.

Transfer Quantity

This column displays the number of doses or the quantity that will be transferred from the selected lot in a text box that can be edited.

Trade Name

This column displays the vaccine trade name for the vaccine listed.

Vaccine Group

This column displays the vaccine group for the vaccine listed. For combo vaccines  all the separate components for the combo vaccine will be displayed.

Lot Number

This column displays the lot number for the vaccine listed.

Quantity Available

This column displays the quantity available for transfer with respect to other pending or unshipped transfers.

Note: Quantity available is equated by taking quantity on hand minus any pending inventory transfers. Occasionally this may end up being a negative number if for some reason the quantity for pending (unshipped) transfers becomes greater than quantity available. In the event there is a negative number displayed quantity available can be clicked and the user will receive an explanation for the negative number.

Active

This column indicates whether the vaccine listed is active or not.  Expired or Inactive Inventory is allowed to be transferred. This may be necessary when sending expired inventory back to the state.

Funding Source

This column indicates whether the vaccine listed is State-Supplied or Privately Purchased.

Expiration Date

This column displays the expiration date for the vaccine listed.

Inventory Display Options

Description

Active and Non-Expired

Selecting the Active and Non-Expired radio button displays the Inventory for the Sending Inventory Site that is Active and Not Expired.

Inactive or Expired

Selecting the Inactive or Expired radio button displays the Inventory for the Sending Inventory Site that is Inactive or is Expired.

Column

Description

Transfer Quantity

This column allows the number of doses or the quantity that would be transferred from the lot to be entered into the text box.

Trade Name

This column displays the vaccine trade name for the vaccine listed.

Vaccine Group

This column displays the vaccine group for the vaccine listed. For combo vaccines you will see all the separate vaccine group components for the combo vaccine displayed.

This column displays the lot number for the vaccine listed.

This column indicates whether the vaccine listed is publicly or privately funded.  All inventory in ALERT IIS is stored as being private inventory.

 Command Button Functionality

Command Button

Description

 

Clicking the Save button any changes that have been made will be saved and the Edit Transfer screen will refresh displaying those changes. You can then either edit the transfer more or finalize the transfer by clicking on the Ship button.

 

Clicking the Packing List button displays a new page with the details for the transfer that can be printed out.

 

Clicking the Label button will display a new screen that will display the address details for the site or organization you are transferring inventory to.

 

Clicking the Finish Trans button displays a prompt: "Are you sure you want to complete this transfer? All inventory items will be automatically accepted into the receiving site." Clicking the Ok button will complete the transfer. The transfer items will be added to the receiving sites inventory and the transfer will become historical. Clicking the Cancel button will stop this action and remain on the Edit Transfer screen.

 

Clicking the Ship button will process your transfer. If everything is correct the user will be taken to the Ship Transfer screen.

 

Clicking the Cancel Transfer button will display a prompt to cancel the current transfer. Selecting Ok will cancel the transfer, selecting Cancel will cancel the delete.
