Manage Patient Status

 Purpose

The Manage Patient Status Criteria screen allows provider organizations to retrieve a group of patients and perform bulk changes to the patient status.

 Functionality

The Manage Patient Status Criteria screen allows the provider the ability to search for a group of patients using the following search criteria:

*Select By Status  (Required) This section allows users to choose a patient status to return in the results set. The status options available for assignment are based on the status selected for review.

*Select By Age  (Required) This section allows users to control the age of patients returned in the result set.

 

1.     All Ages (default option)

2.       Birth Date Range with earliest to latest birth date range

 

Select By Length of Time Since Last Immunization This section allows users to filter the result set by length of time since last immunization.

 

1.     Years, Months, or a combination of both (since last immunization, based on Evaluation Date)

2.      Evaluation Date (if left blank, defaults to the current date

 

Select By Last Name This section allows users to filter the results set by a single last name or a last name range.

 

1.    Last Name search (minimum of first two characters)

          OR BOTH

2.    Last Name Begin Range (minimum of first two characters)

3.    Last Name End range (minimum of first two characters)

 

                   To retrieve the Patient Status Results Set, click the Find button.

Button

Description

When the Find button is clicked, a query executes in the database according to the criteria provided. The patients associated with the provider organization matching the search criteria display in the Search Results Grid. Results are listed alphabetically by last name, first name and then date of birth.

 

If no results are found, based on the search criteria entered, the Screen displays, “No Patient Results Found.”

If results are found the New Status Value drop-down list displays values based on the search status selected. The Patient Status Result Set displays the number of records returned matching the search criteria.

 

Note:   The returned patient data header will indicate the number of records that meet the selected search criteria. Use the  Next»  and  «Previous  buttons to navigate between multiple pages.

 Result Output

If the criteria entered matches patient files,  the Patient Status Result Set Returned section displays the following:

 

1.     Select/Deselect Page All:

a.     By default, this checkbox will be empty.

b.     Selecting the header checkbox will check/uncheck all applicable records on the page.

c.     Selecting the checkbox for individual rows will check/uncheck individual record.

d.     Patients with a status of Inactive-Permanently (Deceased) cannot have their status changed and will not have a checkbox.

2.     Last Name:

a.     Displays patient’s last name

3.     First Name:

a.     Displays patient’s first name

4.     Birth Date:

a.     Displays patient’s birth date

5.     CAIR ID:

a.     Displays patient’s CAIR ID if applicable

6.     Current Status:

a.     Displays patient’s current status

 New Status

To change a patient status for one or more patients:

 1.     Select Patient(s)

a.     To select/deselect all patients on the screen, put a check mark in the Select/Deselect Page All box in the header.

b.     To select/deselect individual patients on the screen, put a check-mark in the checkbox next to each patient.

 2.     Select a New Status Value from the drop-down list. The list of new statuses will vary based on the status chosen in the  *Select By Status  field.

If ‘Active’ patients are selected and displayed, the following drop down options for new status will display:

If ‘Inactive-Unspecified’ patients are selected and displayed , the following drop down options for new status will display:

If ‘Inactive– Lost to follow up’ patients are selected and displayed , the following drop down options for new status will display:

If ‘Inactive-No longer a patient’ patients are selected and displayed , the following drop down options for new status will display:

If ‘All’ patients are selected and displayed , the following drop down options for new status will display:

3.     Click the Save button to update the selected patients.

4.     All selected patients will now display the new patient status value.

                  Note: Clicking the Cancel button at any time returns the user to the blank (default) Manage Patient Status Criteria screen.

Button

Description

When the Save button is clicked, patients selected for update will be assigned the New Status value.

When the Cancel button is clicked, the Manage Patient Status Criteria page is returned to its default settings, and the Patient Status Results Set is removed from the screen.
