Manage Orders Screen

 Purpose

The manage orders screen is used to display a list of current and historical orders, and provide access to create, view, modify, and fill orders.

    Description

    Current

    The default view that will display each time the manage orders screen is viewed. Select the 'Current' option to view only those orders that have not been filled or have not been accepted or rejected by the Provider Organization. These would be orders displaying Pending, Sent to Distributor, In Progress, Shipped or Partial Ship as a status.

    Historical

    Select the Historical radio button to view only those orders that have been Shipped and the order was either Accepted or Rejected, Cancelled, or Denied.  Note: By default all historical orders in the last 30 days will be displayed.

    1. When selecting this option the user is allowed to enter a date range for the historical orders to select a range of historical orders to be viewed in the Order List.

    2. Enter dates in the 'Show Historical Orders by Date From:' and 'To:' to be able to view Historical Orders within the date range provided.

    3. Click on the Refresh List button to refresh the Order List with the date range that was entered.

    Both

    Select the 'Both' option to view both current and historical orders.

    • When this option is selected Current Orders will display at the top and Historical Orders will display below.

    • For historical orders the option of entering a date range for the historical orders will be available to use to view Historical Orders in a specific date range.

Column

Description

User

This column displays the user's name that created the order.

Submit Date

This column displays the date that the order was submitted in the system.

Order ID

This column displays the ID number for the order.

Status

This column displays the status of the order described below.

  • Pending - This indicates that the order has not been viewed or filled by the filling organization. This type of order can still be modified.

  • In Progress - This indicates that the order has been received and reviewed by the filling organization. This type of order can no longer be modified.

  • Sent to Distributor - This indicates that the order has been sent to the CDC for filling of the order.

  • Shipped - This indicates that the order has been completely filled and shipped. This type of order can no longer be modified.

  • Cancelled - This indicates that the order was cancelled by the Ordering Organization. This type of order can no longer be modified, and is considered a historical order.

  • Denied - This indicates that the order was denied by the Oregon Immunization Program. This type of order can no longer be modified, and is considered a historical order.

  • Accepted - This indicates that the order was accepted by the Ordering Organization.  This type of order can no longer be modified, and is considered a historical order.

  • Partial Ship - This indicates that part of the order was filled and shipped with some of the order still waiting to be filled. This type of order can no longer be modified.

  1. Clicking on the Pending status hyperlink will take you to the Modify Order screen. At this point modifications to the order can still be made.

  2. Clicking on the status when the order displays In Progress, Sent to Distributor, Shipped, Cancelled, Denied, Accepted, and Partial Ship displays the View Order screen where only the details of the order can be viewed. No changes can be made to the order at this point.

    1. Below is a table explaining the Order List table different columns and functions available.

Column

Description

Select

This column is used to select orders to view. When viewing an order that has not been filled at all order will be able to be filled.

Organization

This column displays the organization who submitted the order.

User

This column displays the user name that created the order.

Submit Date

This column displays the date that the order was submitted in the system.

Status

This column displays the status of the order described below.

  • Pending - This indicates that the order has not been viewed yet by the Oregon Immunization Program. This type of order can still be modified.

  • In Progress - This indicates that the order has been received and reviewed by the Oregon Immunization Program. This type of order can no longer be modified.

  • Sent to Distributor - This indicates that the order has been sent to the CDC for filling of the order.

  • Shipped - This indicates that the order has been completely filled and shipped. This type of order can no longer be modified.

  • Cancelled - This indicates that the order was cancelled by the Oregon Immunization Program. This type of order can no longer be modified, and is considered a historical order.

  • Denied - This indicates that the order was denied by the Order Filling Organization. This type of order can no longer be modified, and is considered a historical order.

  • Accepted - This indicates that the order was accepted by the Ordering Organization.  This type of order can no longer be modified, and is considered a historical order.

  • Partial Ship - This indicates that part of the order was filled and shipped with some of the order still waiting to be filled. This type of order can no longer be modified.

      1. Clicking on the status will take you to the Fill Order page if the order is still in a Pending, Partial Ship, or In Progress status. Here the order can be filled.

      1. Clicking on the status will take you to the View Order page if the order is in a Sent to Distributor, Rejected, Shipped, Cancelled, Denied, or Accepted status. Here the details of the order can only be viewed.

Note: All historical orders Denied, Accepted, Partially Accepted, and Rejected will not have a link to click on in the status column. To view the order details for historical orders, select the order in the select column, then click on the View Order button. The View Order screen will be displayed.

  1. Click on the Create Order button to be taken to the Create Order screen where you can create a new order.

    1. In the Order List table find the order that needs to be modified or viewed. Remember if the order is in a Pending Status it can still be modified, however once it displays a In Progress Status it can only be viewed.

    2. Click on the status link to modify and/or view the order.

    3. If the order can still be modified the Modify Order screen will display, otherwise if the order can no longer be modified the View Order screen will display.

    1. In the Order List table find the order that needs to be modified or viewed. Remember if the order is in a Pending Status it can still be modified, however once it displays a In Progress Status it can only be viewed.

    2. To modify an order select the order you would like to modify by clicking in the select circle to the left of the order.

    3. Click the View Order button. If the order can still be modified the Modify Order screen will display, otherwise if the order can no longer be modified the View Order screen will display. Note: On the View Order screen you can view the details for the order, and fill the order.

  1. Click on the status of a desired order to fill it.

  2. Alternatively clicking the circle in the select column, then click the View Order button. Note: For new 'Pending' orders the Modify Order screen will appear, and for all ongoing 'In Progress' orders the View Order screen will be displayed. Either way a Fill Order button will be available.

 Functionality

The functionality on the manage orders screen involves either creating a new order, modifying or viewing an existing order, and selecting an order to fill.

Command Button

Description

This button will only display for an Ordering Organization. Clicking on the Create Order button will display the Create Order screen to create your order.

This button will only display for the Oregon Immunization Program. After selecting an order, clicking on the View Order button will display the View Order screen if the order is in a In Progress, Shipped, Cancelled, Denied, or Partial Ship Status. Otherwise if the order is still in a Pending Status the Modify Order screen will display.

Clicking the Cancel button will display the main screen. Any changes made will not be saved.

Status Link

Clicking a status link for a particular order will display one of two screens depending on the status of the order and type of Order Organization.

  • For Ordering Organization

  1. If the order status is in a Pending Status the Modify Order screen will display.

  2. If the order status is in a In Progress, Shipped, Cancelled, Denied, or Partial Ship Status the View Order screen will display.

  • For Oregon Immunization Program

  1. If the order status is in a Pending, In Progress or Partial Ship Status the Fill Order screen will display.

  2. If the order status is in a Shipped, Cancelled, or Denied Status the View Order screen will display.
