Manage Orders Screen |
Purpose |
The manage orders screen is used to display a list of current and historical orders, and provide access to create, view, modify, and fill orders.

Viewing the Order Listing- This section describes viewing the display of orders that have been placed. Listed below you will find all of the information necessary to view what is displayed on the screen.
For Ordering Organization
The table 'Order List' is displayed on the screen. Orders are listed descending by date created.
By default the 'Current' orders are displayed but by selecting a different radio button described below the Order list will be filtered appropriately.

Current |
The default view that will display each time the manage orders screen is viewed. Select the 'Current' option to view only those orders that have not been filled or have not been accepted or rejected by the Provider Organization. These would be orders displaying Pending, Sent to Distributor, In Progress, Shipped or Partial Ship as a status. |
Historical |
Select the Historical radio button to view only those orders that have been Shipped and the order was either Accepted or Rejected, Cancelled, or Denied. Note: By default all historical orders in the last 30 days will be displayed.

Both |
Select the 'Both' option to view both current and historical orders.

Below is a table explaining the Order List table different columns and functions available.

This column displays the user's name that created the order. |
Submit Date |
This column displays the date that the order was submitted in the system. |
Order ID |
This column displays the ID number for the order. |
Status |
This column displays the status of the order described below.

Clicking on the Pending status hyperlink will take you to the Modify Order screen. At this point modifications to the order can still be made.
Clicking on the status when the order displays In Progress, Sent to Distributor, Shipped, Cancelled, Denied, Accepted, and Partial Ship displays the View Order screen where only the details of the order can be viewed. No changes can be made to the order at this point.
For Oregon Immunization Program
The table 'Order List' is displayed on the screen. Orders are listed descending by date created.
By default the 'All Current' orders are displayed but by selecting a different radio button described below the Order list will be filtered appropriately.

Select the 'New' radio button to view only those orders that are new orders that have not been filled or even viewed. These would be orders displaying a Pending status. |
Ongoing |
Select the Ongoing radio button to view only those orders that have not been filled or have not been accepted or rejected by the Ordering Provider organization. These would be orders displaying In Progress, Sent to Distributor, or Shipped as a status. |
All Current |
The default view that will display each time the manage orders screen is viewed by the filling organization. Select the 'All Current' radio button to view only those orders that have not been filled or have not been accepted or rejected by the Provider Organization. These would be orders displaying Pending, In Progress, Sent to Distributor, Shipped, or Partial Ship as a status. |
Backorder |
Select the backorder radio button to view only those orders that have been partially shipped. These would be orders displaying Partially Ship as a status. |
Historical |
Select the Historical radio button to view only those orders that have been Shipped and the order was either accepted or rejected, cancelled, partialy accepted, or denied. Note: By default all historical orders in the last 30 days will be displayed.

This column is used to select orders to view. When viewing an order that has not been filled at all order will be able to be filled. |

This column displays the organization who submitted the order. |

Status |
This column displays the status of the order described below.

Clicking on the status will take you to the Fill Order page if the order is still in a Pending, Partial Ship, or In Progress status. Here the order can be filled.
Clicking on the status will take you to the View Order page if the order is in a Sent to Distributor, Rejected, Shipped, Cancelled, Denied, or Accepted status. Here the details of the order can only be viewed.
Note: All historical orders Denied, Accepted, Partially Accepted, and Rejected will not have a link to click on in the status column. To view the order details for historical orders, select the order in the select column, then click on the View Order button. The View Order screen will be displayed.
Creating Orders- Read below for an explanation on how to create a new inventory order. Note: Creating orders is a function available only to organizations ordering State-Supplied vaccine.
Click on the Create Order button to be taken to the Create Order screen where you can create a new order.
Modifying/Viewing Existing Orders- As long as an order is displayed in a Pending status it can be modified. Once an order is in an In Process status it cannot be modified. Clicking on an order that displays as an In Process status will show the order details and will also allow you to fill the order for the Oregon Immunization Program. Read the following instructions to modify or view an order. Note: As soon as you click on the status of an order in a Pending Status, it is considered an In Progress Order and changes the status to In Progress and cannot be modified any longer.
For Ordering Organization
In the Order List table find the order that needs to be modified or viewed. Remember if the order is in a Pending Status it can still be modified, however once it displays a In Progress Status it can only be viewed.
Click on the status link to modify and/or view the order.
If the order can still be modified the Modify Order screen will display, otherwise if the order can no longer be modified the View Order screen will display.
For Oregon Immunization Program
In the Order List table find the order that needs to be modified or viewed. Remember if the order is in a Pending Status it can still be modified, however once it displays a In Progress Status it can only be viewed.
To modify an order select the order you would like to modify by clicking in the select circle to the left of the order.
Click the View Order button. If the order can still be modified the Modify Order screen will display, otherwise if the order can no longer be modified the View Order screen will display. Note: On the View Order screen you can view the details for the order, and fill the order.
Filling an Order- Filling a vaccine inventory order is only available to the Oregon Immunization Program. The following provides a description of how to fill an order.
Click on the status of a desired order to fill it.
Alternatively clicking the circle in the select column, then click the View Order button. Note: For new 'Pending' orders the Modify Order screen will appear, and for all ongoing 'In Progress' orders the View Order screen will be displayed. Either way a Fill Order button will be available.

The functionality on the manage orders screen involves either creating a new order, modifying or viewing an existing order, and selecting an order to fill.

Clicking the Cancel button will display the main screen. Any changes made will not be saved. |
Status Link |
Clicking a status link for a particular order will display one of two screens depending on the status of the order and type of Order Organization.
